PCI SSC 2025 Community Events and Industry Programs

By clicking “Submit” and submitting the 2025 PCI SSC Community Meeting Vendor Showcase Application (the “Application”) on the Application Page, the individual doing so thereby acknowledges and agrees with PCI SSC, on his or her own behalf and on behalf of the Vendor identified on the preceding page (“Vendor”), that (i) such individual and Vendor both have read, understand and agree to the terms and conditions set forth in this Vendor Showcase Agreement (the “Agreement”) and (ii) such individual is employed by Vendor and is duly authorized by Vendor to agree to the terms and conditions of this Agreement by and on behalf of Vendor.

Vendor Showcase Terms, Conditions and Rules

In order to reserve a showcase location at the PCI Security Standards Council (“PCI SSC”) event(s) that you selected on the preceding web page (each a “Vendor Showcase” or “Event”), the Vendor must pay in full to PCI SSC the entire amount of the fee to be invoiced by PCI SSC to the Vendor for participation in such Vendor Showcase(s) (the “Vendor Showcase Fee”) at least 4 weeks before the first Vendor Showcase (the “Application Deadline”).

Each Vendor Showcase is a two and a half day exhibition during specified times at the corresponding Event. Asia-Pacific is a day and half exhibition.

In order to participate in any Vendor Showcase, Vendor must accept the terms of this Agreement by the Application Deadline.

Assignment of space will be based on the order in which completed Applications (i.e. complete Application information, acceptance of this Agreement, and full payment of the Vendor Showcase Fee) are received, with the exception of priority placement of premium package sponsors. Vendor exhibition space for each Vendor Showcase is subject to availability and is not guaranteed.

Vendor exhibition space is approximately ten feet by ten feet in North America and three meters by three meters in Europe, although measurements for Europe location may differ slightly. Asia-Pacific will be a tabletop area approximately 3 meters wide.

Each booth space includes pipe and drape (North America) or hard walls (Europe) on two or three sides; one table & two chairs, one identification sign, Vendor listing on Event microsite and on-site program. Asia-Pacific space is one tabletop and two chairs (no booth or hard walls is included in the set-up). Furnishings, lighting, electricity, phone, drayage, taxes etc. are not included and must be purchased separately by the Vendor from approved suppliers.

Nothing can be affixed to walls, floors, or ceilings. Vendor will be responsible for damage arising from Vendor’s conduct. Vendor may inquire about ordering food for their booth. Vendor may not use a microphone, PA system or Gobo.

In order to appear in Event collateral, Vendor must provide its logo to be used in the event collateral no later than three months prior to the applicable Event. If such materials are not timely and correctly submitted, Vendor will not appear in the Event collateral.

Complimentary Registrations: Upon receipt of Vendor’s completed Application and full payment by the Application Deadline, the Vendor contact listed on the Application will receive an email with instructions on how to register using the two (2) complimentary passes. These passes are to be used for the representatives that will be staffing the Vendor Showcase on behalf of the exhibiting Vendor company.

Exhibitor Information Online Guide: An Exhibitor Information password protected site will be provided with remaining details (i.e. shipping, orders, set-up, removal, showcase hours, etc.) approximately one month prior to the applicable Event. A link to the site will be sent to the contact listed on the Application.

Shipping: Vendor acknowledges and agrees that all Vendor both and other property and materials to be provided by Vendor to PCI SSC in connection with the Event must be shipped using the general shipping contractor designated by PCI SSC (“GSC”).  For information regarding the GSC, please contact [email protected].

Exhibitor Rules of Conduct: PCI SSC has established Rules of Conduct for Vendors in a Vendor Showcase that may be modified and updated from time to time by PCI SSC.  These Rules shall be made available to Vendor Showcase participants either electronically or through other means.  Such rules shall include but not be limited to proper conduct in the exhibit hall, minimum age of attendees, proper dress, use of sound or recording devices, food and beverage policies, use of approved meeting and conference spaces, compliance with all rules and regulations of the Venue (defined below) and the jurisdiction in which the applicable Event is conducted.

Insurance and Liability: Vendor hereby agrees to obtain and maintain throughout each Vendor Showcase the following insurance coverages with insurance carriers having an AM Best Rating of at least A: VIII or better (or equivalent rating of other recognized rating standard):

Commercial General Liability insurance with contractual indemnity coverage with minimum limits of $3 million per occurrence. This requirement can be fulfilled with a combination of a Commercial General Liability policy and an Umbrella policy. The policy shall name the following entities as Additional Insureds: (a) PCI Security Standards Council, LLC, (b) each applicable Vendor Showcase venue (each a “Venue”), which (i) for the North America Vendor Showcase is Fort Worth Convention Center, (ii) for the Europe Vendor Showcase is RAI Convention Centre, and (c) for each Vendor Showcase, each applicable Venue’s parent, subsidiaries, and affiliates, as their interests may appear. Please note that PCI SSC will accept the Indemnity to Principal Provision as an alternate to the Additional Insured requirement.

Commercial Auto including coverage for Owned, Non-Owned, and Hired Auto Liability with limits not less than $1 million. This requirement is based on availability of such commercial auto coverage in the country of the Vendor’s principal place of business (“Home Country”), and is automatically waived in countries where such coverage is not available (e.g. New Zealand, Germany, Israel, Japan, Australia, and Sweden)

Statutory Worker’s Compensation coverage, with coverage as required by applicable law; and Employer’s Liability coverage with a limit of $1,000,000. Note: Depending on your Home Country, Worker’s Compensation and Employer’s Liability coverage may be provided via the Home Country’s social welfare scheme, or may be purchased via a private market. Employer’s Liability coverage may also be provided via endorsement to your Commercial General Liability policy.

Vendor hereby acknowledges and agrees that upon request by either PCI SSC or the applicable Venue, Vendor must provide acceptable certificates evidencing the insurance required pursuant to this Agreement, and that any Vendor failing to provide such certificates for any Vendor Showcase may be removed or excluded from participation in that Vendor Showcase. Vendor must add the Venue as an Additional Insured in its Commercial General Liability insurance certificates as well.

Due to the nature of the facilities available, the presence and circulation of large numbers of people, the difficulty of effective supervision over such people and removable materials, and other factors common to event(s) of the type covered by this Agreement, by submitting this Agreement, Vendor thereby (a) agrees that it assumes sole risk and liability for any injury to or caused by its employees or personnel in connection with the Event, and for any loss or damages to or caused by any property of Vendor in connection with the Event (in each case, whether occurring prior to, during, or after the Event), including but not limited to materials provided by or on behalf of Vendor to PCI SSC (“Vendor Materials”), (b) assumes all such risk and liability, and (c) releases PCI SSC and its members, officers, representatives, contractors or employees from, and agrees not to sue any of the foregoing for or in connection with any such risk, liability or any related claims, losses, damages, injuries, costs or expenses.

Without limiting the foregoing, Vendor hereby expressly acknowledges and agrees that neither PCI SSC nor any of its members, officers, representatives, contractors or employees is or shall be responsible or liable for any Vendor Materials or for any claims, losses, damages, costs, expenses, injuries or fees arising in connection with the shipping thereof.

Payment: If Vendor fails to timely pay the entire Vendor Showcase Fee or fails to abide by any of the terms set forth above, PCI SSC may terminate this Agreement and the Vendor’s booth and participation at each Vendor Showcase, immediately upon notice (by email or otherwise) to the Vendor’s contact specified above, and without refund of any monies previously paid. Full payment is required by the Application Deadline in order to receive the full benefits of participation in the Vendor Showcase (i.e. listing on Web page and in applicable Event collateral).

Cancellation by Showcase Vendor: Any request for cancellation by Vendor must be directed to PCI SSC in writing. If the request is received by PCI SSC on or before July 14, 2025, for North America and Europe; August 25, 2025 for Asia-Pacific, the total paid for the applicable Vendor Showcase minus a $200 processing fee will be refunded. If the request is received on or after July 15, 2025 for North America and Europe; or August 26, 2025 for Asia-Pacific, no refund will be issued or required.

Cancellation by PCI SSC or Venue: It is possible that a particular Event may be cancelled for any number of reasons including but not limited to: Strikes, pandemic or widespread disease, terrorism, cancellation of key speakers, low anticipated registration, weather, or many other reasons that may make travel or holding the Event impossible or impractical.  PCI SSC shall, in its sole and exclusive judgement, have the right to cancel this Agreement at any time upon notice to Vendor for any reason that may make the Showcase impossible or impractical to conduct.  In no event shall PCI SSC be responsible for any costs or expenses incurred by Vendor for hotel expenses, airline fees or real or potential lost business arising from any cancellation of a Vendor Showcase or Event by PCI SSC.

Cancellation Refunds; Carryover Payments: If a Vendor Showcase is cancelled by PCI SSC as described in the preceding paragraph, PCI SSC may either (i) return the corresponding Vendor deposits and payments received by PCI SSC to Vendor within 60 business days of the cancellation announcement or (ii) if the Vendor elects to participate as a Vendor in a subsequent PCI SSC vendor showcase event (a “Subsequent Vendor Showcase”), apply such deposits and payments toward payment of the applicable PCI SSC vendor showcase fee for the Subsequent Vendor Showcase. Return of Vendor Showcase deposits and payments or application thereof toward a Subsequent Vendor Showcase pursuant to the preceding sentence shall be the sole and exclusive remedy of Vendor as a result of cancellation of a Vendor Showcase or Event by PCI SSC as described in the preceding paragraph.

Information relating to an identified or identifiable natural person collected in connection with this Agreement (“Personal Data”) is used to permit PCI SSC to contact the Vendor in connection with this Agreement.
